DESCRIPTION OF THE ADD/DELETE SECURITIES SCREEN - RELEASE 2.11 PAGE 1 OF 8
This screen is used to add securities to the catalog, to delete securities from
the catalog, to make corrections and to enter the current market values for all
securities. A security must exist in the catalog before it can be bought or
sold in any portfolio; however once in the catalog it can be bought or sold any
number of times in any portfolio within the scope of the catalog.
The catalog is a list of securities that can exist in a portfolio. Only one
catalog can exist on a diskette or in a sub-directory. The scope of the catalog
includes all securities in all portfolios on that diskette or sub-directory.
The catalog contains the name, security type, ticker symbol, annual income,
current price and other information about each security. It is always displayed
in order by security type and ticker symbol. The security type order is: cash
accounts, margin accounts, commercial paper, moneymarket funds, municipal and
corporate bonds, preferred and common stocks, warrants, options and precious
metals. Cash accounts come first, with precious metals last.
When you are prompted to select the security type, another Help screen is
available which describes each security type in detail.
DESCRIPTION OF THE ADD/DELETE SECURITIES SCREEN PAGE 2 OF 8
On the left side of the Add/Delete Securities screen, in the SYMBOL column, one
of the ticker symbols is in a solid video block, which is referred to here as
the selector block. The selector block is used to select a security to delete
or a data item to correct. It can be moved in any direction by using the four
arrow keys on the right side of your keyboard; the display will "scroll" up or
down automatically if required. In addition the Home, End, PgUp and PgDn keys
are active and can be used to "browse" through the catalog.
The lower right-hand corner of the screen shows how full the catalog is, for
example 34/255 means the catalog contains 34 security entries out of a maximum
capacity of 255.
In the column headings, "EX" is 2 letters to indicate which exchange, if any,
the security is traded on (such as NY for New York, AM for American, OC for
over-the-counter). "PAYMENT FR.-MON" is the interest or dividend payment fre-
quency (monthly, quarterly, semi-annual or annual) and month. "TAX- ABLE" is
the taxability of that income (none, Federal, State or fully).
The additional menu choices are described in the next screens.
DESCRIPTION OF THE ADD/DELETE SECURITIES SCREEN PAGE 3 OF 8
A = Add a new security. It makes no difference where the selector block is,
because the program always arranges the securities in type and symbol
order. Any time during data entry, you can cancel by pressing the Esc key.
Information about individual securities can be found in a variety of pub-
lications such as those from Standard & Poors, Value Line, Moody's, etc.
Your broker should be able to give you the required information. Or ask
for a copy of the S & P Stock Guide or Bond Guide.
First, you are asked for the security type. At that point, there is an
opportunity to press H to get another Help screen for further explanation.
Next comes the security identifier. Normally you should use the ticker
symbol which the stock exchange uses, such as BMY for Bristol-Myers. If
there is no official symbol, one must be made up, because this is the way
each security is identified to the system. Computers require exact spel-
ling and it's easier to remember and type "LADWAP" than the exact spelling
of "L.A. Dept. Water&Pwr" or something like that. Only the alphabetic
characters A-Z, numerals 0-9 and the special characters - + % can be used.
WARNING: The security type and identifier cannot be changed once entered.
Forget about the Caps Lock key - only uppercase (CAPITAL) letters are used.
DESCRIPTION OF THE ADD/DELETE SECURITIES SCREEN PAGE 4 OF 8
A = Add a new security (continued). Next, you enter the exchange (optional),
and the name of security (required, up to 20 characters). Following that,
you enter the industry category for stocks or funds, or the maturity date
for other securities (optional). Some data items such as this one may be
skipped by the program if they are not relevant.
The current market value is entered separately with the (C)hange or (E)nter
functions, described later in these screen pages.
Next, you enter the income data (optional). In addition to the annual in-
come per share (or other unit), the program wants the payment interval and
the month of the first payment during a calendar year. The reason for this
is to summarize the data by month, for a cash flow plan or budget. For
example, suppose you bought Los Angeles Dept. of Water and Power bonds,
paying 7.75% yearly on March and September. You would type 7.75 for the
annual interest, S for Semi-annual payments and 3 for March, the month of
the first payment.
Last, you specify the taxability of the income. In the above case you might
enter 0 (non-taxable) if you live in California, otherwise enter 2.
DESCRIPTION OF THE ADD/DELETE SECURITIES SCREEN PAGE 5 OF 8
B = Buy the selected security for, or sell it from, the active portfolio. This
will take you to the Add/Delete Portfolio Transactions screen. Before this,
any data you have typed in is automatically saved to disk. You will auto-
matically be prompted to enter a transaction for the security indicated by
the selector bar, with the symbol or other identifier already entered for
you. You can press the Esc key if you don't want to buy that security.
The name of the active portfolio is shown in the menu at the bottom of the
screen. If there is no active portfolio for update, you will have to go
back to the Master Menu and press C to (C)hange the active portfolio.
C = make Corrections to the selected data item. You can change any data item
that is relevant to that security type, except the security type and sym-
bol. The program will flash an error message if you try something that
doesn't make sense, such as entering annual income for a put option. You
can also enter items that may not have been entered before, such as annual
income. Instead of changing the symbol, it is better to enter the new one
separately because transactions may still exist under the old symbol.
DESCRIPTION OF THE ADD/DELETE SECURITIES SCREEN PAGE 6 OF 8
E = Enter current market prices, beginning with the security on which the sel-
ector block is positioned. Each time you enter a price, the selector block
will automatically move to the next security, until you reach the end or
press the Esc key.
Either decimal or fractional input is acceptable. A space must be left
between a fraction and its corresponding whole number. This is necessary
to distinguish between such values as 1 3/16 and 13/16.
When the end is reached you will be asked to type in the date for which the
prices you entered are current. This date will become the "as of" date for
the gain/loss since purchase report and the income/tax analysis report, and
will be used to select the data to appear in those reports. If you press
the Enter key by itself, the current DOS system date will be used.
DESCRIPTION OF THE ADD/DELETE SECURITIES SCREEN PAGE 7 OF 8
W = Wipe out (delete) the selected security, from the catalog ONLY. You are
first asked for verifification that you want to delete it; reply Y or N -
or press the Esc key. If you press Esc or N the security will not be
deleted.
WARNING: this function does NOT delete transactions in that security from
any portfolio, nor does it check for the possible existence of open trans-
actions in any portfolio. Transactions without matching catalog entries
may give incomplete results in reports.
H = Help - displays the information you are reading now.
X = eXit back to the Master Menu. Any data you have typed in is automatically
saved to disk at this time.
DESCRIPTION OF THE ADD/DELETE SECURITIES SCREEN PAGE 8 OF 8
P = Print the entire catalog. The format will be similar to what is displayed
on the screen. This printout is intended as a reference while entering
purchase or sale transactions.
After pressing P you will be asked if you want to pause between pages.
Reply Y (for Yes) if you are using single sheets or if you want an oppor-
tunity to adjust the printer after each page is printed; otherwise reply
N (for No). Pagination is automatic and assumes 8 1/2 x 11-inch paper.
No special printer features are used or required.
Printing begins on the line where the print head is at, so first make sure
the paper is loaded the way you want. If you have just used your printer
for something else, it may need to be re-set manually before starting.
You can press the Esc key at any time to stop the process. Printing should
stop after a line or two, depending on the size of your print buffer. If
your printer has a large buffer or you are using a print spooling program,
pressing the Esc key may not stop the printer.
